Shared Drive Organization Checklist

Goal: Today you'll use the shared class drive to clean up, name, and organize your digital files so your work looks professional, easy to find, and ready to share.

Why It Matters: Being organized online shows professionalism, saves time, and prevents mistakes. Employers and teachers notice when your digital workspace is clean, clear, and labeled correctly.

Step 1: Access the Shared Drive

  • Open the WBL Shared Drive.
  • Find your assigned folder with your name or team name.
  • Double-check that you can add, rename, and move files inside your folder.

Step 2: Clean & Rename Your Files

Use this file naming convention: ProjectName_Phase_YourName_Date

Examples:

  • Resume_V1_JLee_2025
  • PosterDesign_Final_MReed_10-13
  • WBL_Reflection_JSmith_Unit3

Rename anything unclear or missing info. Remove random characters, emojis, or personal slang from file names.

Step 3: Organize Folders

Create logical subfolders inside your main folder:

WBL_Unit3
├── Projects
├── Assets
├── Exports
└── Notes

Make sure each folder only contains what belongs there. Delete duplicate or outdated files (keep the newest version).

Step 4: Version Control & Backups

When revising a project, save versions clearly labeled as V1, V2, or Final — for example, Presentation_V2_Final_JLee.

Make sure your most up-to-date files are backed up to the shared drive (cloud) — not just your device.

Step 5: Proof of Organization

When finished:

  • Take a screenshot of your organized folder structure.
  • Upload it to the “Proof of Organization” folder in the shared drive or submit via Schoology.
  • Optional: add a short note describing one improvement you made (e.g., “Renamed all files and created an Assets folder”).
